What Is NDIS Plan Management?
NDIS plan management is a free service that helps National Disability Insurance Scheme participants manage the financial and administrative side of their NDIS plans. A registered NDIS plan manager handles provider invoices, lodges claims with the NDIS portal, tracks your budget across all funding categories, and provides regular spending updates.
In simple terms, a plan manager takes care of the paperwork and numbers so you can focus on what matters most: achieving your goals and living independently. You keep full choice and control over your providers and supports, while your plan manager handles the financial complexity behind the scenes.
Plan management is one of three ways to manage your NDIS funding. Unlike self-management (where you handle everything yourself) or NDIA-managed (where the National Disability Insurance Agency manages payments directly), plan management gives you the best of both worlds: freedom of choice with professional financial support.
What Does an NDIS Plan Manager Do?
An NDIS plan manager acts as the financial intermediary between you, your service providers, and the NDIS. Here is exactly what a plan manager handles on your behalf:
Invoice Processing
Receives, checks, and pays your service provider invoices. At Dedicated Plan Management, we process invoices within 24 to 48 hours so your providers are paid quickly.
Budget Tracking
Monitors your spending across Core, Capacity Building, and Capital funding categories. You receive regular, easy-to-read budget statements so you always know exactly where your funding stands.
NDIS Claims Management
Lodges all claims with the NDIS portal on your behalf, making sure every claim is accurate and compliant with NDIS guidelines.
Provider Choice Freedom
Unlike NDIA-managed plans, plan management allows you to use both NDIS-registered and non-registered providers. This gives you far more choice in who delivers your supports.
Dedicated Support
A good plan manager is always available to answer your questions, explain your budget, and help you understand how your NDIS funding works. You should never feel like just a number.
How Much Does NDIS Plan Management Cost?
NDIS plan management is completely free for participants. The cost of plan management is funded directly by the NDIS through a separate budget allocation in your plan called "Improved Life Choices" (previously known as Capacity Building, Choice and Control). This means using a plan manager does not reduce your other NDIS funding.
The NDIS sets the rates that plan managers can charge. As of the 2025–26 NDIS Pricing Arrangements, the monthly plan management fee is $104.45. These funds come from a dedicated line item in your plan, not from your Core or Capital budgets. You will never receive a bill from your plan manager, and choosing plan management will not take money away from the supports you need.
Previously, plan managers could charge a one-off setup fee when you first signed up. As of 1 July 2025, the NDIS abolished the setup fee entirely due to market maturity. This means there is now zero cost to switch to a new plan manager or sign up for the first time.
Key takeaway: There is no cost to you as a participant. Plan management is fully funded by the NDIS as a separate budget line. It does not reduce your other funding.
The 3 Ways to Manage Your NDIS Plan
Every NDIS participant must choose how their plan funding is managed. There are three options, and you can use a combination of these across different parts of your plan.
| Feature | NDIA-Managed | Plan-Managed | Self-Managed |
|---|---|---|---|
| Who pays providers? | NDIA directly | Your plan manager | You |
| Use non-registered providers? | No | Yes | Yes |
| NDIS Price Guide | Must follow | Must follow | Not bound (can negotiate) |
| Paperwork & admin | None | None | All on you |
| Budget tracking | NDIS portal | Plan manager + portal | You track it |
| Provider choice | Limited | Maximum | Maximum |
| Cost to you | Free | Free | Free (but your time) |
| Best for | Simple plans | Most participants | Confident self-managers |
Most NDIS participants choose plan management because it offers maximum provider choice without the administrative burden of self-management. Currently, over 462,000 NDIS participants across Australia use one of approximately 1,443 registered plan managers to help administer their plans. You can also mix management types within a single plan. For example, plan-managing your Core supports while self-managing your Capacity Building budget.
Benefits of Choosing NDIS Plan Management
There are several important advantages to having your NDIS plan professionally managed. Here are the key benefits that plan management provides:
Freedom to Choose Any Provider
Use both registered and non-registered NDIS providers. This gives you access to a much wider range of support workers, therapists, and services.
Zero Paperwork
Your plan manager handles all invoices, claims, and financial reporting. You never have to deal with the NDIS portal or chase payments.
Clear Budget Visibility
Receive regular budget updates that are easy to understand. You always know how much funding remains across each category.
Financial Peace of Mind
A qualified plan manager checks every invoice for accuracy, ensures providers are charging correct NDIS rates, and protects your funding from billing errors.
Fast Provider Payments
Providers prefer working with plan-managed participants because they get paid quickly. This means better relationships with your support team.
Expert NDIS Knowledge
Your plan manager understands NDIS pricing, rules, and funding categories. They can help you make informed decisions about how to use your plan effectively.
How to Choose the Right NDIS Plan Manager
Not all plan managers are the same. When choosing a plan manager, there are several important factors to consider. Here is what to look for when selecting the best NDIS plan manager for your needs:
-
1
NDIS Registration: Ensure the plan manager is a registered NDIS provider. You can verify this on the NDIS Commission website. Dedicated Plan Management is registered under provider number #4050163721.
-
2
Invoice Processing Speed: Ask how quickly they pay providers. Slow payments can damage your relationship with support workers. Look for 24 to 48 hour processing times.
-
3
Communication: Choose a plan manager who is responsive and easy to reach. You should be able to call, email, or message them and get a prompt reply.
-
4
Budget Reporting: Ask what budget reports look like. Good plan managers provide clear, regular updates that are easy to understand, not confusing spreadsheets.
-
5
Google Reviews: Check their Google reviews. Real participant feedback tells you more than any marketing. See what our participants say. We have a 5.0 star rating.
-
6
Personal vs Corporate: Consider whether you prefer a large corporate provider or a smaller, family-run business where you speak to the same person every time.
NDIS Plan Management Under PACE
PACE (Participant-led, Accessible, Coordinated, Equitable) is the new NDIS computer system that is progressively replacing the old myplace portal. It was introduced in 2024 and is being rolled out nationally.
Under PACE, the way NDIS plans are structured and funded has changed. Plans are now more flexible, with different budget categories and a new approach to how funding is allocated. However, the role of a plan manager remains the same: handling your invoices, claims, and budget tracking.
One important change under PACE is that plan management funding is now part of the "Improved Life Choices" category. Your plan manager works within the new PACE framework to ensure your claims are processed correctly under the updated system.
At Dedicated Plan Management, we are fully PACE-ready and have been supporting participants through the transition. Whether your plan is on the old system or the new PACE framework, we handle everything seamlessly.
Understanding NDIS Funding Categories
Your NDIS plan is divided into funding categories that determine what you can spend your money on. A good plan manager helps you understand and track these categories so you get the most out of your plan.
Core Supports
Funding for everyday activities and your current disability-related needs. This includes assistance with daily life, transport, consumables, and social and community participation. Core funding is generally the most flexible category.
Capacity Building Supports
Funding to build your skills and independence over time. This covers areas like improved daily living, improved relationships, employment support, improved health and wellbeing, and improved life choices (which includes plan management).
Capital Supports
Funding for higher-cost items and one-off purchases. This includes assistive technology (like wheelchairs, communication devices, and home modifications) and specialist disability accommodation.
Your plan manager monitors your spending across all these categories and alerts you if any budget is running low, helping you avoid overspending in one area while underutilising another. Learn more about how plan management works.
How to Change Your NDIS Plan Manager
Switching your NDIS plan manager is free, simple, and can be done at any time. You do not need to wait for a plan review or get approval from anyone. It is your right as an NDIS participant to choose who manages your plan.
If you are unhappy with your current plan manager, whether due to slow invoice processing, poor communication, or lack of transparency, you can change your NDIS plan manager in three simple steps:
Sign Up With Your New Plan Manager
Complete the sign-up form with your new plan manager. At Dedicated Plan Management, this takes less than five minutes online or over the phone.
We Handle the Switch
Your new plan manager contacts the NDIS to transfer the plan management to them. We handle all the paperwork and communication with the NDIA on your behalf.
Continue Your Supports
Your existing providers and supports continue uninterrupted. There is no gap in service. Your providers simply send their invoices to your new plan manager instead.
