NDIS plan management is a free support service where a registered plan manager handles all the financial administration of your NDIS plan on your behalf. This includes processing provider invoices, tracking your budget, lodging claims with the NDIA, and giving you regular spending updates. Because plan management is funded separately by the NDIS, it does not reduce your other support budgets.
If you are an NDIS participant (or a family member researching options), understanding how plan management works is one of the most important decisions you will make. It affects which providers you can use, how much paperwork you deal with, and how much control you keep over your funding.
This guide covers everything you need to know about NDIS plan management in Australia, including how it compares to self-management and NDIA management, what a plan manager actually does, how much it costs, and how to get started.
The Three Ways to Manage Your NDIS Funding
When you receive your NDIS plan, you choose how your funding is managed. There are three options, and you can mix them within a single plan.
| Feature | Self-Managed | Plan-Managed | NDIA-Managed |
|---|---|---|---|
| Who handles the admin | You do everything | Your plan manager | The NDIA pays providers directly |
| Provider choice | Registered and unregistered | Registered and unregistered | Registered providers only |
| Pricing rules | Not bound by NDIS Price Guide | Must follow NDIS Price Guide | NDIS Price Guide applies |
| Record keeping | Your responsibility | Plan manager handles it | NDIA handles it |
| Cost to you | No extra funding provided | Free (separately funded by NDIS) | No extra cost |
| Admin time required | 5 to 25 hours per week | Minimal | Minimal |
| Flexibility | Maximum control | High flexibility, low admin | Least flexible |
Most participants choose plan management because it gives them the freedom to use both registered and unregistered providers (just like self-management) without the time-consuming paperwork. You get the best of both worlds.
What Does an NDIS Plan Manager Actually Do?
A plan manager is your financial partner in the NDIS. Their role is specifically focused on the money side of your plan. Here is what they handle:
- Invoice processing - They receive invoices from your service providers, check them for accuracy against the NDIS Price Guide, and process payments. At Dedicated Plan Management, we process invoices within 24 to 48 hours.
- Budget tracking - They monitor your spending across Core, Capacity Building, and Capital categories so you always know how much funding you have left.
- NDIS claims - They lodge payment claims with the NDIA through the my NDIS portal on your behalf.
- Provider payments - They pay your service providers promptly so you can maintain good relationships with your support team.
- Spending reports - They send you regular, easy-to-read budget statements showing where your funding is going.
- NDIS compliance - They ensure all claims meet NDIS rules and pricing limits.
It is important to understand that a plan manager is different from a support coordinator. A support coordinator helps you find and connect with services to achieve your plan goals. A plan manager handles the finances. You can have both, and they are funded from different budget categories.
How Much Does NDIS Plan Management Cost?
NDIS plan management is completely free for participants. The cost is funded by the NDIS under the Capacity Building category, specifically the "Improved Life Choices" (Choice and Control) line item. This funding is separate from and in addition to all your other support budgets.
The current fees set by the NDIS Pricing Arrangements and Price Limits (PAPL) for 2025-26 are:
- Monthly plan management fee: $104.45 per month
- Setup fee: Abolished from 1 July 2025
These fees are paid directly to your plan manager by the NDIS. They do not come out of your Core, other Capacity Building, or Capital budgets. Having a plan manager will never reduce the amount of support you can access.
Benefits of Choosing Plan Management
There are several reasons why plan management is the most popular choice among NDIS participants:
- Use any provider you want - Unlike NDIA management (which restricts you to registered providers only), plan management lets you choose from both registered and unregistered providers. This gives you access to a much wider range of services.
- Zero paperwork for you - Your plan manager handles all invoices, claims, and record-keeping. You do not need to log into the NDIS portal or chase up payments.
- It costs you nothing - The NDIS funds plan management separately, so it does not eat into your support budgets.
- Budget visibility - You receive regular spending reports so you always know where your funding stands. No surprises at plan review time.
- Expert guidance - A good plan manager understands the NDIS Price Guide, funding categories, and claiming rules. They can flag issues before they become problems.
- Peace of mind - Knowing that a qualified professional is managing the financial side of your plan lets you focus on what matters: achieving your goals.
How to Get Plan Management Added to Your NDIS Plan
If you do not currently have plan management in your NDIS plan, you can request it at your next plan reassessment. Here is what to do:
- Tell your planner or LAC that you want plan management included in your plan. Since March 2025, the NDIA must accept your request unless there is a specific reason under the NDIS Act not to.
- Explain why it helps you - You might say that managing invoices and budgets is stressful, that you want access to unregistered providers, or that you need help understanding your funding categories.
- Choose your plan manager - You can research and choose a plan manager before or after your planning meeting. Look for a registered NDIS provider with good reviews, fast payment processing, and clear communication.
If you already have plan management in your plan, you can change your plan manager at any time without waiting for a plan review.
NDIS Funding Categories Explained
Understanding your funding categories helps you make the most of your plan. Under the current NDIS PACE system, there are three main budget types:
Core Supports are your most flexible funds. They cover daily activities, social and community participation, consumables, and transport. You can generally move money between Core subcategories.
Capacity Building supports are designed to help you build skills and independence. This category includes support coordination, employment support, and importantly, plan management (Choice and Control). You cannot move money between Capacity Building subcategories.
Capital Supports cover larger investments like assistive technology, home modifications, and specialist disability accommodation. These funds must be used for their stated purpose.
Your plan manager tracks spending across all three categories and alerts you if any budget is running low.
NDIS PACE Changes and What They Mean for Plan Management
The NDIA rolled out the new PACE computer system between October 2023 and mid-2025. All active participants are now on PACE. Key changes that affect plan management include:
- Service bookings removed - The old service booking system has been replaced by provider endorsement in the "My Providers" section.
- New portal - Participants now use the "my NDIS" portal through myGov instead of the old myplace portal.
- Funding periods - From May 2025, some plans have 3-month funding periods instead of receiving all funding at once. Your total funding remains the same.
Looking ahead to mid-2026, the NDIA is introducing a new framework for planning. This will bring new support needs assessments and a flexible budget system with two types of funding: flexible funding (usable across any approved supports) and stated funding (for specific purposes). Your plan manager will help you navigate these changes as they roll out. How to Choose the Right NDIS Plan Manager
Not all plan managers are the same. Here are the key things to look for when choosing:
- Payment speed - How quickly do they process invoices? Look for plan managers who pay providers within 24 to 48 hours, not weeks.
- Communication - Do they send regular budget updates? Can you reach them by phone when you need help?
- NDIS registration - They must be a registered NDIS provider. Check their registration number on the NDIS Commission website.
- Reviews and reputation - Check Google reviews and ask other participants or support coordinators for recommendations.
- Portal access - Some plan managers give you access to an online portal where you can check your budget anytime.
- Local knowledge - A plan manager who understands your local area and service landscape can provide better support.
At Dedicated Plan Management, we are a registered NDIS provider (#4050163721) with a 5.0 star rating on Google. We process invoices within 24 to 48 hours, provide regular budget updates, and our friendly Brisbane-based team is always just a phone call away.
Frequently Asked Questions
Can I have both a plan manager and a support coordinator?
Yes. A plan manager handles your finances while a support coordinator helps you find and connect with services. They are funded from different budget categories, so having both does not reduce your other supports.
Can I change my plan manager at any time?
Yes. You can switch plan managers whenever you want, even mid-plan. There is no cost to change, and your funding amounts are not affected.
Does plan management reduce my other NDIS funding?
No. Plan management is funded separately under Capacity Building (Improved Life Choices). It does not reduce your Core, other Capacity Building, or Capital budgets.
Can I use unregistered providers with plan management?
Yes. This is one of the biggest advantages of plan management. You can use both registered and unregistered providers, giving you access to a much wider range of services compared to NDIA management.
What happens to unused NDIS funding?
Generally, unused funding does not roll over to your next plan. Your plan manager can help you monitor your spending so you make the most of your available funding before your plan review date.
